We have extended hours including Saturdays, and a 24 hour emergency service line. All quotes and orders can be placed electronically via web, called in, emailed, faxed, or through Movers Suite, creating ease-of-use.
With our web based quote and order management tools, all communication notes are shared and delivered in real time to keep agent coordinators, shippers, and vendors informed and updated on all activity. Using your in-house move management software or the Web; quotes and orders can be sent instantly. One can review and track all requests, read and analyze all communication messages, retrieve pictures, inspections reports, and invoices with one complete system. All quotes can be reviewed and easily converted into an order with a simple click of a button.
CMS invoicing is all digital. We process all invoices within 24 -48 hours. Invoices can be mailed, faxed, emailed, or attached to each order in the CMS system for viewing. All invoices are crossed check with the origin or destination services. All communication notes are reviewed, quotes analyzed, and company billing needs followed to ensure 100% accuracy and cost efficiencies. Invoices are archived including full and discounted amounts. Our accounts can retrieve invoices at anytime as well as having them automatically distributed to the proper departments in any organization. Our system notifies a person when the invoices are sent and posted for immediate processing. We can also attach the signed service order with each invoice for viewing upon request.
CMS has partnered with many move management software companies to make managing and placing an order as convenient as possible. With CMS’s “Third Party Application” icon, one can place an order in seconds. With our adaptable software, information and any fields necessary to complete a third party request from any Move Management Software is retrieved and transferred directly into our system. This makes data entry and information retrieval simple, accurate, and non cumbersome - saving valuable time and increasing efficiency.
With our “Vendor Procedure & Policy Manual” all vendors sign a confidential “Non Disclosure Agreement” and go through a rigorous qualification process. All vendors and their technicians are background checked. CMS has developed a partnerships with Confidential Solutions and Verifirst Background Screening LLC., a state authorized agency, to assist in qualifying all vendors and employees. We require our technicians to be uniform compliant and equipped with an ID for verification. All vendors must carry insurance with a certified conglomerate of their choice, with a valid Tax ID number. In addition, all vendors must complete training in the field, and have the proper equipment and inventory on hand to become a CMS Certified Technician.
The CMS system can customize and create any report based upon the needs and criteria of the agent. From Customer Survey Scores, Vendor and Account Performance, to Monthly, Quarterly, or Yearly Financial statements. CMS gives an agent leader the ability to design and create the information needed to manage its 3rd party portfolio.
Our order delivery process is second to none. All orders and quotes are qualified and confirmed regardless of how they are sent. In addition, optional email to the shipper can be customized to notify them that we have been contacted by the “VAN LINE” to complete their services. CMS begins by calling the customer 2 to 3 days prior to the service to confirm the order with the customer and to let the customer know the name of the technician completing the service. With our unique IVR system, service times are set up in 2 hour intervals with the customer and vendor, and sent to the agent for notification. All notes are shared and delivered to the vendor and agent during the service process. Once the service is complete, our IVR system alerts the coordinator that the job is complete. To ensure 100% customer satisfaction and to strengthen the quality of our vendor team, a quick survey and follow up call are performed to complete the order.
